Operations Manager

Description

Summary
The successful candidate will be responsible for managing the day-to-day operations of the 33,000 SF lab and office of Greentown Labs and maintaining a high level of customer satisfaction by member companies. The candidate is responsible for managing the process of on-boarding new member companies, managing their space needs, ensuring members access and benefit from available member services (such as software tools), managing all vendors, planning and executing facilities upgrades, and ensuring facilities are working properly, safely and securely. This is a hands-on position - candidate will be expected to “walk the floor” of the office and lab space and interact regularly with member companies to better understand their needs. Candidate will provide leadership, strong analytic, problem-solving and business-strategy skills, and will take the initiative to ensure not only efficient operations but cost savings. Excellent communication skills are an absolute must to generate positive relationships with vendors and member companies.

Responsibilities

Onboarding Process

  • Manage and continuously improve the on-boarding process at Greentown Labs
  • Work with new members to assess their current and future space needs
  • Brief new members on safety, trash, IT, and other operational policies
  • Ensure access to sponsor resources such as software is simple and straightforward
  • Follow up on a regularly to ensure members have everything they need

Manage Lab/Desk Space/Rentals

  • Track and optimize the rentals of lab and office space by member companies
  • Model anticipated future space needs 1-6 months out
  • Maintain records and ensure compliance with NDA policies

Customer Service

  • Run member company customer satisfaction surveys monthly
  • Report and respond to all operational issues raised by members, track and report response time
  • “Walk the floor” in the lab and office on a regular basis to engage with members

Facilities Management

  • Ensure smooth operations for members, anticipate changes in weather, moves, loud noises, deliveries, fire alarm testing, etc that will affect members and ensure they are informed
  • Ensure systems are functioning in the building to ensure comfort and safety of all inhabitants
  • Keep a list of trusted off-site vendor with 24 hour service capabilities
  • Ensure that all supplies levels are maintained (kitchen, office and bathrooms)
  • Ensure that kitchen, bathrooms, conference rooms, office, lab and event space are well-maintained
  • Develop project plans as needed for facilities and other building related upgrades

Vendor Management

  • Develop & maintain strong working relationships with all vendors
  • Provide feedback as issues arrive - ensure high performance from vendors
  • Recommend new services as needed, price these and make recommendations
  • Manage relationship with landlord - develop agenda and hold monthly check-in meetings

Safety Program

  • Lead safety program and policy development
  • Track attendance at meetings/compliance metrics
  • Maintain chemical inventory database
  • Maintain adequate safety equipment on-site
  • Ensure compliance with all regulations

Financial

  • Coordinate with Financial Bookkeeper to provide weekly financial information
  • Develop and maintain space utilization models as needed

Operations Policy/Process Development/Communications

  • Develop & communicate policies to maintain efficient building operations
  • Policies include: IT, Waste Disposal, Safety, Security, Space Usage, etc.
  • Provide weekly operational updates for the internal newsletter and at team meetings

Security

  • Be the first-in-line responder for fire and other building emergencies
  • Manage security system, including access and security system
  • Maintain visitor’s log to have accurate understanding of people in facility

Requirements

  • Master’s Degree Preferred
  • Minimum 3-5 years’ experience managing operations
  • Flexibility to work some weekends and to put in long hours
  • Strong skills in excel, powerpoint, and word processing required
  • Experience working with start-ups or entrepreneurial experience a plus
  • Experience in cleantech, clean energy or other sustainability oriented industries
